For dental practices · Spain · 2026

The patient who messages at 22:47 has an appointment by 22:48.

It answers every message in under a minute at any hour, wins back patients who have not been in for months, confirms appointments and asks for Google reviews. It connects to your WhatsApp and your diary; the front desk learns no new software.

We have connected a demonstration number so you can try the system from your own WhatsApp. Write as a patient would and inspect the conversation without installing anything or giving us access to your practice.

This is a demonstration environment, not a dental practice. Do not share patient names, medical details or other personal information.

The mechanism

Patients decide in the first few minutes, and usually in favour of whoever replied sooner

Someone looking for a dentist messages two or three practices at once. An MIT study on response speed, across more than 15,000 enquiries, found that making contact within the first five minutes rather than thirty makes an enquiry 21 times more likely to qualify. And a good share of those messages arrive at night or at the weekend, when there is nobody left on the front desk.

An incoming message, step by step
0 sThe message arrives: WhatsApp, Instagram, Google, the website form or a missed call.
<5 sThe sender is looked up in your diary. If they are already a patient, the reply accounts for it.
<60 sThe reply goes out, offering real slots read from your diary.
humanA complaint, an emergency or anything needing clinical judgement hands over to your team during opening hours.
closeThe conversation and the appointment are both recorded and searchable.
Without the system
Out-of-hours messageRead when the practice opens.
Missed callNo record, and no guaranteed callback.
Appointment confirmationA manual call, if the front desk has time.
Slot freed by a cancellationStays empty unless somebody works it.
Patient with no recent visitDepends on somebody reviewing the diary.
ReviewAsked for if somebody remembers.

Everything depends on somebody being free, and none of it is recorded.

With the system
Out-of-hours messageAnswered in under a minute, any day, any hour.
Missed callLogged, and answered in writing.
Appointment confirmationAutomatic at 48 h and 2 h, with no intervention.

The system

Four jobs: replying, winning patients back, confirming appointments and asking for reviews

All four run at once, on top of what you already use. Your team stops doing them by hand.

01 · replying

Replies in under a minute, at any hour.

WhatsApp, Instagram, Google, the website form and missed calls. Including 22:30 on a Sunday. If a conversation needs clinical judgement, it hands over to your team during opening hours.

Vektora → Hello! Yes, we have slots this week. Tomorrow at 17:00 and Thursday at 11:30. Does either work for you?
Unanswered messagesnone pending at opening
02 · winning patients back

Writes again to anyone who has not been in for months.

It searches your diary for anyone who has gone months without an appointment and writes to them with a concrete reason to come back, with the consent the regulation requires and an opt-out in every message. No bulk sends and no discounts.

Reactivated per month8–20
03 · filling the diary

Confirms appointments and fills the ones that drop.

A reminder 48 hours before and another 2 hours before. If the patient cancels or does not confirm, the slot is offered to the waiting list on its own. Nobody has to ring anybody.

No-show reduction34–50%
04 · reviews

Asks for the review two hours after treatment.

A direct link to your Google listing arrives while the patient is still happy. Nobody has to remember to ask for it.

Reviews per week4–5
Compliance

Health data, treated as health data.

Not an extra: it is the part almost nobody in this market has sorted.

We sign a data processing agreement with every practice, before a single record is touched. Article 28 GDPR. You remain the controller of the data; we process it on your instructions and in writing.
An AI notice on the first interaction. Required by Article 50 of the EU AI Act since August 2026. The patient knows what they are talking to before telling you anything.
The system does not diagnose or triage. It books, reminds and answers administrative questions. Anything clinical goes to a professional on your team.
Reactivation goes out as a check-up reminder, never as a commercial campaign. With the consent the regulation requires and an opt-out in every message.
Every provider that touches a record is under written contract. Sub-processors, security measures, pseudonymisation and retention periods are set out in your practice's processing agreement, not in a generic terms page. You can object to a new one being added, as article 28.2 provides.

We are engineers. This is built properly from the start or not at all.

The maths

1.200 € a month, and the sum done with your numbers

We put the price before the numbers so you can judge them. The sum below uses only one of the four jobs, the easiest to measure, and a ticket you can swap for your own.

Job 02 · patients won back · put in your figures
1conservative assumption · 28

Pre-filled at 1.640 €, the Spanish average for a single implant in 2026 (Ferrus & Bratos; range 900–2.500 € per unit). Swap it for yours: with clear aligners or full-arch work, the sum moves on its own.

What your practice bills 3.280 € 2 treatments × 1.640 € ticket
What Vektora charges 1.200 € a month · 990 € installation · no lock-in after the guarantee

Ratio against what we charge: ×2.7. And this is one of the four flows.

The sum comes out low on purpose: one job out of four, two treatments a month, and your ticket rather than ours. We would rather you checked it than believed it.

Extending cover by hiring ≈26.000 € / year A dental receptionist earns an average of 20.094 € a year in Spain (Indeed, July 2026); with social security, around 26.000 € of employer cost. Their day ends when the practice closes.
Extending cover with the system 14.400 € / year Plus 990 € installation. It does not close: nights, weekends and public holidays — and during opening hours anything needing clinical judgement still goes to your team.

This is not a comparison about replacing anyone: it is what it costs to cover the hours when there is nobody there.

Questions

What people usually ask.

If anything is still unclear, settle it on the call.

Yes, and it is mandatory. Since August 2026 the EU AI Act requires it, so the first message says so clearly and briefly. In practice nothing changes: what the patient values is being answered in under a minute. If the conversation gets complicated — a complaint, an emergency, anything needing clinical judgement — it escalates automatically to your team during opening hours. The real conversation stays yours.
In almost every case. We connect with Gesden, Clinik, Dental4Windows and most systems, and we also work with practices that do not use one yet. We verify compatibility before charging anything: if there is a technical problem, you hear it beforehand, not after.
Installation is 990 €. From there, 1.200 € a month. The first stretch carries a guarantee: if in 90 days the system has not generated at least its own cost in recovered visits, measured in your own diary, you stop and we refund the fees. No lock-in afterwards. Groups of three or more practices, price agreed on the call.
Forty-eight hours end to end, and your team carries on exactly as before:
  • Day 1, morning. Connection to your practice management software and a compatibility check.
  • Day 1, afternoon. We configure the flows, match the tone to your practice and run tests.
  • Day 2 onwards. Live. Your front desk learns no new software.
The immediate reply works from day one. Fewer missed appointments from the second week. The first patients won back between day seven and day fourteen. New Google reviews from day three.
No. It frees her. It covers the hours your front desk is not there — nights, weekends, bank holidays, sick leave — and the tasks that demand daily consistency. Where a person does the job better, a person keeps doing it.
Especially. A single-dentist practice loses calls precisely because there are not enough hands. The system gives it the responsiveness of a corporate group, without the cost and without hiring.
We would rather say it before costing you fifteen minutes:
  • Fewer than twenty new messages a month. Below that volume the system does not pay for itself; a notebook and a disciplined front desk cover it.
  • If you expect it to replace your receptionist. It does not, and if the idea was to save a salary, this is not the system.
  • If you do not want notifications. Ten per cent of the time the system escalates a conversation and needs your judgement.
If none of the three describes you, we probably fit.
Next step

Fifteen minutes, and you know whether it fits

We look at your practice and tell you what the system would do. If it does not make sense to continue, we say so on that call.

01You book. Immediate confirmation by email.
02We write beforehand to understand your specific case.
03A clear diagnosis on the call and a next step — or not.
